AR - (4) Inquiry of Accounts Receivable

Summary

Each week an aged accounts receivable by customer report may be distributed showing the balance due and the account manager.  Before calling a customer, the Account Manager should review the account by doing an Inquiry.

From the A/R inquiry the user can also:

  • View Invoice History
  • View Customer Paid History
  • Add Comments
  • View Advance Payments
  • Print Statements
  • Re-Print Invoices

To Export

  1. Click Export, Air, (3) Reference Inquiry
  2. Cancel to exit.

To Inquire a Customer Account:

  1. Click Accounting, Accounts Receivable, (4) Inquiry of Accounts Receivable.
  2. Enter Account Number.
  3. Enter Customer number of the customer you would like to inquiry. You may use the Customer number look-up button next to the Customer number field to display a listing of all customers.
  4. Once the Customer number is entered the A/R balance information will automatically be displayed.
  5. Click Ok to clear the screen and inquiry a new customer.
  6. Click Cancel to exit.

To Reprint an invoice:

  1. Click Accounting, Accounts Receivable, (4) Inquiry of Accounts Receivable.
  2. Enter Account Number.
  3. Enter Customer number of the customer you would like to reprint the invoice for. You may use the Customer number look-up button next to the Customer number field to display a listing of all customers.
  4. Click on the Invoice Number in the body of the screen that you would like to print.
  5. Click on the Print Invoice button.
  6. "Invoice Written" will be displayed.  Click Ok.  You know that the invoice has already been written.
  7. You will now be taken to the Invoice Printing Screen.

Field Name

Description

Account # This field will be pre filled with your account number.
Customer # Enter the Customer Number of the customer you would like to inquiry.
Reference #  
Telephone Customer's Telephone Number.
Fax Customer Fax Number.
E-mail Address Customer Email Address.
Mgr  
Current Amount currently due.
Over 15 Amount over 15 days due.
Over 30 Amount over 30 days due.
Over 45 Amount over 45 days due.
Total Total due.

 

Button Name

Description

Customer Look-up Click to display a listing of all customers.
Invoice History Once you've highlighted an invoice by clicking on it once. Click this button to go to Invoice History Display.  You can not edit this screen. Click Ok or Cancel to exit.
Comments Click to view, edit, or add customer Comments.
Print Statement Click to print the screen.  A PDF creator will allow you to create and email a current statement to your customers from here.  Call C.B.C.C for more information about PDF's.
Paid History Click to go to the Cash Ledger Display. You may inquiry a customer’s payment history.
Advances Click to go to the Advance Payment Display. You may only view this screen.
Print Invoice Once you've highlighted an invoice by clicking on it once. Click this button to re-print the selected invoice. The Invoice printing screen will appear. The account number and original invoice date will be displayed. Select Print to re-print the selected invoice.  A PDF creator would allow you to email an existing invoice to your customer from here.  Call CBCC for more information about PDF.
